Booking Terms and Conditions

Terms and conditions for event bookings including cancellation and refund policy.

Booking Terms and Conditions

Last updated: July 2026.

These terms apply to all event bookings made through the Dulwich Wine Society website or directly with the Society.

1. Bookings

Event places are confirmed only upon receipt of payment in full. Bookings are personal to the named member or guest and are non-transferable without the prior agreement of the committee.

Where an event has a maximum capacity, places are allocated on a first-come, first-served basis subject to the member priority rules described in section 5 below.

2. Payment

Payments are processed securely by Square, a third-party payment provider. By making a payment you agree to Square's Purchase Policy and Privacy Policy. The Dulwich Wine Society does not store your card details. All transactions are in Pounds Sterling (GBP).

3. Cancellation by the member

If you need to cancel a booking, you may do so through your account on the website:

  • More than 7 days before the event — you may cancel online and a full refund will be issued automatically to your original payment method via Square. Refunds typically appear within 3–5 business days.
  • Within 7 days of the event — self-service cancellation is not available online. This is because the Society will have committed to purchasing wines for confirmed numbers. Please contact us as early as possible at secretary@dulwich-wine-society.co.uk and we will consider requests on a case-by-case basis at the discretion of the committee.

Where a cancellation creates an available place, it will automatically be offered to the next eligible person on the waiting list.

4. Waiting list

Where an event is fully booked you may join the waiting list. The following rules apply:

  • Members are given priority over non-members on the waiting list, regardless of when they joined it.
  • If a place becomes available you will be notified by email with a link to complete payment. You will have 24 hours to respond, or 12 hours if the event is within 2 days.
  • If you do not complete payment within the response window your place will be passed to the next person on the list.
  • You are not charged when joining the waiting list — payment is only requested if a place is offered to you.
  • Non-member places on the waiting list are subject to a sliding availability window in the weeks before the event, to ensure members have a fair opportunity to book.

5. Member and guest rates

Current members pay the member rate. Non-members pay the guest rate. Registered account holders who have not previously attended a tasting may be eligible for a one-time introductory rate on their first booking, subject to availability and at the discretion of the committee. This rate does not apply to special events.

6. Cancellation by the Society

In the unlikely event that we cancel an event, all booking fees will be refunded in full within 3–5 business days. We are not responsible for any travel or other costs you may have incurred.

7. Changes to events

We reserve the right to make changes to speakers, wines, or venue in exceptional circumstances. Where a material change is made we will notify booked members as soon as possible.

8. Refund process

Where a refund is approved or issued automatically it will be returned to the original payment method via Square within 3–5 business days. We are not able to refund to a different card or account.

9. Dietary requirements and accessibility

Please inform us of any dietary requirements or accessibility needs when booking. We will endeavour to accommodate reasonable requests but cannot guarantee this in all cases.

10. Alcohol and responsible service

Events involve the tasting of alcoholic beverages. Attendees must be aged 18 or over. We encourage responsible drinking. The venue reserves the right to refuse service.

11. Contact
