Privacy Policy

Last updated: June 2026

The Dulwich Wine Society ("we", "us", "our") is committed to protecting your personal data. This policy explains what information we collect, how we use it, and your rights.

1. Who we are

The Dulwich Wine Society is an unincorporated members' association based in West Dulwich, London. We can be contacted at secretary@dulwich-wine-society.co.uk.

2. What data we collect and why

Account and membership data

When you join the Society or create an account, we collect your email address and, once you update your profile, your full name and optionally your phone number. We use this to manage your membership, send confirmation emails, and allow you to log in to the website.

Payment data

Event booking and membership payments are processed by Square (a third-party payment provider). We do not store your card details. We retain a record of the transaction amount, date, and status for the purpose of confirming bookings and managing membership periods. Square's own privacy policy applies to the payment process and can be found at squareup.com.

Event booking records

We store a record of which events you have booked and paid for. This is used to confirm your place, send booking confirmations, and administer the waiting list.

Comments on past events

If you post a comment on a past event, your first name (or first name and initial, derived from the name you provide in your profile) will be displayed publicly alongside your comment. Comments may be moderated. Do not include sensitive personal information in comments.

Website usage

We use Google Analytics to understand how visitors use the website. This uses cookies and collects anonymised information about pages visited and session duration. No personally identifiable information is shared with Google Analytics.

3. Legal basis for processing

We process your data on the basis of:

  • Contract — to fulfil your membership and event bookings.
  • Legitimate interests — to administer the Society and communicate with members.
  • Consent — where you have opted in to communications such as our newsletter.

4. How long we keep your data

We retain your account and booking records for as long as you are a member and for a reasonable period afterwards for accounting and dispute resolution purposes. You may request deletion of your account at any time by contacting us.

5. Sharing your data

We do not sell or share your personal data with third parties for marketing purposes. Your data may be shared with:

  • Square — for payment processing only.
  • Our email service provider — to send transactional emails (booking confirmations, membership confirmations).

6. Your rights

Under UK GDPR you have the right to access, correct, or delete your personal data, to restrict or object to processing, and to data portability. To exercise any of these rights please contact us at secretary@dulwich-wine-society.co.uk.

7. Cookies

Please see our Cookie Policy for details of the cookies we use.

8. Changes to this policy

We may update this policy from time to time. The current version will always be available on this page.
